What does Cultivar keep for Schedule 8?

Medicinal cannabis products are Schedule 8 controlled medicines in Australia. That means every unit has to be accounted for: what came in, what went out, to whom, on whose authority, and what is left. Cultivar keeps that running record automatically as a side effect of the order itself. Each line is stored per batch, per organisation and per transaction, so the balance the inspector asks for is a query, not a reconciliation.

What we do not do: we do not replace the register your state's poisons regulation requires you to keep, if it requires a specific form. We give you the export to fill it, and we will show you the export in the demo.

How does the six-monthly report to the regulator work?

Licence holders supplying medicinal cannabis report their supply to the Therapeutic Goods Administration (TGA) at six-monthly intervals. Cultivar builds that report from the same allocation and supply records the orders already created, per product and per batch, and exports it as a file you review before you send it. The report is generated from your data; sending it, and signing off on it, remains your act as the licence holder.

Can a patient order anything they like?

No. A patient can only order against a prescription their dispensary already holds on file, for the product and quantity on it, within the repeats it allows. There is no catalogue and no price list in the patient portal. Every order lands in the dispensary's queue and a pharmacist reviews it before it is dispensed, exactly as they would for a phone order. The portal removes the phone call and the re-keying; it does not remove the pharmacist.

Is anything visible to the public?

No product, price or supplier is visible without a verified login. Medicinal cannabis is not on the register of medicines that may be advertised to the public, so Cultivar has no public product pages and its patient portal describes what is on the patient's prescription, not what is on the market. This is a design decision and it is not configurable.

How are pharmacies and licence holders verified?

A dispensary records its pharmacy approval number, its pharmacist in charge and its state licence when it joins, and a supplier records its licence and permit details. Cultivar checks those for expiry on every order and blocks supply against an expired one. We record what each organisation states; independently confirming it with the regulator remains the licence holder's responsibility, and we say so on every page where those details appear. Which checks your state requires before a first supply is something we walk through with you.

Where is patient data stored, and who can see it?

Patient records are visible only to the dispensary that holds the prescription and to the patient themselves. A distributor sees the dispensary's orders, never its patients. A grower sees demand by distributor, never a dispensary's customers. That separation is enforced in the platform, not by policy.

Is there an audit trail, and can I get my data out?

Every change to an order, an allocation or a batch record is stamped with who made it and when, and nothing is deleted in place. Your ledger, your orders and your reports can be exported at any time as plain files, so an inspection or a migration never depends on us being in the room.

Who owns the records?

You do. Each organisation owns its own records: the dispensary its dispensing history, the distributor its allocations, the grower its batch and test records. Cultivar holds them on your behalf and hands them back on request.
